SideQuests Travel LLC (“SideQuests,” “we,” “us,” or “our”) is an Oregon limited liability company that creates and operates group travel experiences for the LGBTQ+ community. This Privacy Policy explains how we collect, use, share, and protect your personal information when you visit our website at sidequeststravel.com, view or book a trip through our booking pages hosted on WeTravel (for example, sidequeststravel.wetravel.com) or on TrovaTrip (trovatrip.com), join one of our trips, or otherwise interact with us.
By using our websites, booking a trip, or taking part in a trip, you consent to the collection, use, and sharing of your information as described in this Privacy Policy. This Policy is incorporated into and forms part of our Traveler Terms & Conditions. We do not accept changes to this Policy proposed by you. If you do not agree with it, please do not use our sites, book a trip, or provide us with your information.
1. How SideQuests, WeTravel, and our Hosts fit together
Understanding who handles your information, and when, matters, so we want to be clear about it up front.
SideQuests is responsible for your trip information. Under applicable privacy laws, SideQuests acts as the “data controller” for the personal information you provide to book and take our trips. That means we are the party primarily responsible for that information and for the choices about how it is used.
We use WeTravel and TrovaTrip as our booking and payment platforms. When you book, you also agree to the terms and privacy policy of whichever platform you book through, WeTravel or TrovaTrip. The platform processes your booking and payment and shares your booking details, such as your name, phone number, and email address, with us as the trip organizer. Full payment card details are handled by these platforms and their payment processors and are not provided to us. For questions about how WeTravel or TrovaTrip themselves collect and use data, please review their respective privacy policies.
Our trips are led by Hosts. Hosts are independent contractors engaged by SideQuests on a per-trip basis. They are not employees of SideQuests. Section 4 explains what information a Host receives and how they are permitted to use it.
Our trips are run on the ground by Operators. Local tour operators and destination partners (“Operators”) deliver the day-to-day trip experience and have their own terms and privacy practices.
2. Information we collect
We collect the following categories of personal information, depending on how you interact with us:
Information you provide when booking or traveling: your name; date of birth and age; contact details such as email address, phone number, and mailing address; passport number, nationality, and other travel document information; emergency contact details; and rooming preferences.
Health, dietary, and accessibility information: any dietary needs, accessibility requirements, or medical or health information you share with us so we can help arrange a safe and comfortable trip.
Communications and content: messages you send us, feedback and survey responses, testimonials, and photos or videos taken in connection with a trip.
Payment information: payments are processed by WeTravel or TrovaTrip and their payment processors. We do not collect or store your full payment card details.
Information collected automatically: when you visit our website, we and our service providers may collect device, usage, and cookie information. Booking pages hosted on WeTravel or TrovaTrip are also subject to those platforms’ cookie and tracking practices.
3. Sensitive information and your privacy as an LGBTQ+ traveler
Some information we handle may be considered sensitive under applicable law, including health, dietary, and accessibility information, passport and government identification numbers, and, given the nature of our community, information that may reveal your sexual orientation or gender identity.
We understand that for many of our travelers, privacy is a matter of personal safety. We use sensitive information only for the purposes described in this Policy, we limit access to it to those who need it to operate your trip, and we do not publicly disclose your participation in a trip or any information that may reveal your sexual orientation or gender identity without your consent, except as needed to operate your trip or as required by law. Any use of trip photographs for promotional purposes is governed by our Traveler Terms & Conditions, and you may contact us with concerns about a specific image.
4. How we share your information
With Hosts. Your trip is led by a Host, who is an independent contractor and not an employee of SideQuests. So the Host can communicate with you about the trip, the group, and related SideQuests updates, the Host of your trip receives the information you provide at booking, which may include your name, age, phone number, and the email address associated with your booking. Hosts are required to handle your information in accordance with this Privacy Policy, our Community Guidelines, their agreement with us, and applicable data-protection and anti-spam laws, and to use it only for trip-related and SideQuests-related communication. Hosts are solely responsible for their own direct communications with you. Any dispute or other communication between you and a Host that arises in the Host’s personal capacity is separate from, and not the responsibility of, SideQuests.
With Operators and destination partners. We share the information needed to deliver your trip, such as your name, rooming and dietary needs, accessibility requirements, and, where required, passport details, with the Operators and local partners who run your trip on the ground. These parties have their own terms and privacy practices.
With WeTravel, TrovaTrip, and other service providers. We share information with WeTravel and TrovaTrip (our booking and payment platforms) and with other service providers who perform functions on our behalf, such as payment processing, communications, scheduling, and analytics. These providers are permitted to use your information only to perform those functions for us.
For safety and legal reasons. We may share information where we believe in good faith that it is necessary to protect the safety of a traveler, Host, or the public, to comply with the law, to respond to lawful requests, or to establish, exercise, or defend our legal rights.
Business transfers. If SideQuests is involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction, subject to reasonable protections.
We do not sell your personal information. We do not sell your personal information for money, and we do not share it for cross-context behavioral advertising.
5. How we use your information
To process and confirm your booking and administer your trip.
To communicate with you about your trip, logistics, and safety, including through your Host and our team.
To provide traveler support and respond to your questions.
To protect the safety and well-being of travelers and the group and to apply our Community Guidelines.
To send you updates and marketing about future trips and offers, from which you can opt out at any time.
To comply with our legal, tax, and accounting obligations and to protect our rights.
6. Data retention
We keep personal information for as long as needed to provide our services and operate your trip, and afterward as needed to comply with our legal, tax, and accounting obligations, resolve disputes, and enforce our agreements. When we no longer need it, we delete or de-identify it.
7. Data security
We take reasonable administrative, technical, and physical measures to protect personal information from loss, misuse, and unauthorized access, disclosure, alteration, or destruction. Booking and payment information is handled through the secured systems of WeTravel or TrovaTrip. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
8. International travelers and data transfers
SideQuests is based in the United States and processes personal information there. If you are located outside the United States, including in the European Economic Area, the United Kingdom, or Switzerland, your information will be transferred to and processed in the United States, where data-protection laws may differ from those in your location. Where required, we take steps to ensure appropriate safeguards are in place for such transfers.
9. Your privacy rights
Depending on where you live, you may have some or all of the following rights regarding your personal information. To exercise any of them, contact us using the details in Section 12. We may need to verify your identity before responding, and we will not discriminate against you for exercising your rights.
All travelers. You may ask us to access, update, or correct your information, request deletion, or opt out of marketing communications.
U.S. state residents (including California and Oregon). Subject to your state’s law, you may have the right to know and access the personal information we hold about you, to correct or delete it, to opt out of any “sale” or “sharing” of personal information or targeted advertising, and to not be discriminated against for exercising these rights. As noted above, we do not sell your personal information or share it for cross-context behavioral advertising.
EEA, UK, and Switzerland (GDPR). We process your personal information on one or more of these legal bases: your consent, the performance of our contract with you, compliance with a legal obligation, and our legitimate interests in operating and improving our trips. You have the right to access, rectify, erase, restrict, or port your information, to object to certain processing, to withdraw consent, and to lodge a complaint with your local supervisory authority.
10. Children
Our trips and services are intended for adults aged 18 and over. We do not knowingly collect personal information from anyone under 18. If you believe someone under 18 has provided us with personal information, please contact us and we will take steps to delete it.
11. Third-party services and downstream sharing
Booking and taking a trip with us involves third parties we do not control, including WeTravel and TrovaTrip (our booking and payment platforms), the Operators and local partners who run your trip, travel insurers, and payment processors. These parties have their own terms and privacy policies, and once your information is in their hands it is governed by their policies, not this one. We are not responsible for the privacy practices of these third parties, and we encourage you to review their policies before providing information to them.
Once we have shared your information as described in this Policy, or once you provide information directly to a third party such as a Host, Operator, or insurer, we cannot retrieve that information or control how those parties use it, and we are not liable for their use of it. If you opt out of receiving communications from us, that does not require us to recover information already shared, and you may need to contact those parties directly regarding their use of your information.
12. Your responsibilities and how this Policy works with our Terms
You are responsible for providing accurate and complete information and for keeping it current. You can update or correct your information by contacting us using the details below.
This Privacy Policy is part of, and should be read together with, our Traveler Terms & Conditions. To the fullest extent permitted by law, the disclaimers, limitation of liability, and indemnification provisions of our Traveler Terms & Conditions apply to any claim or matter relating to your personal information or this Policy. Nothing in this Policy is intended to expand our liability beyond what those Terms provide.
13. Changes to this Policy and how to contact us
We may update this Privacy Policy from time to time. When we do, we will post the revised version with an updated date, and the change takes effect when posted. We may not provide individualized notice of changes, so please review this Policy periodically. Your continued use of our sites or services after a change indicates your agreement to the revised Policy.
